How to Manage a CCTV Installation Business From Lead to Invoice

Most CCTV businesses are good at one part of the work — usually the installation itself. The trouble lives in the handoffs: sales to store, store to technician, technician to accounts, accounts to after-sales. This playbook walks through every stage of a CCTV installation job, who should own it, what should be recorded, and where things typically break.

The full journey at a glance

  1. Enquiry
  2. Qualification and site survey
  3. Quotation and approval
  4. Advance
  5. Installation project and material
  6. Installation and handover
  7. Invoice and balance payment
  8. AMC and after-sales service

1. Enquiry — owner: sales

Record: name, phone, site, source, requirement, assigned salesperson, next follow-up date.

Where it breaks: enquiries left in WhatsApp chats with nobody responsible.

2. Qualification and site survey — owner: sales

Record: survey date, who visited, camera locations, DVR/NVR position, cable routes, power points, internet availability, customer's priorities.

Where it breaks: survey details stay in one person's head, and the installation team discovers surprises on site. Our guide on tracking CCTV leads and follow-ups covers stages 1–3 in detail.

3. Quotation and approval — owner: sales

Record: itemised quotation with GST, payment terms and validity; approval date.

Where it breaks: the customer approves a revised version on WhatsApp, but the store prepares material from the old one. Keep one quotation per job and update it, rather than sending loose messages.

4. Advance — owner: accounts

Record: amount, date, payment mode and account, linked to the customer.

Where it breaks: the advance is noted in a diary and forgotten at final billing, or counted twice.

5. Installation project and material — owner: store + project lead

Once approved, the job becomes a project: customer, assigned staff, start date, status. Material is issued against the project, not handed over informally.

Record: items and quantities issued, serial numbers of cameras and DVR, who issued and who received.

Where it breaks: extra cable and connectors leave the store "just in case" and never come back.

6. Installation and handover — owner: technician

A good handover checklist:

  • Every camera live with the agreed angle, day and night
  • Recording confirmed; retention days checked
  • Mobile viewing set up on the customer's phone
  • Default passwords changed; credentials handed over securely
  • Unused material counted and returned to store against the project
  • Customer sign-off noted

Where it breaks: the job is "done" but nobody updates the status, so billing waits.

7. Invoice and balance — owner: accounts

The invoice should come from the project — what was actually used — with the advance applied. Then the balance is followed up until paid. See the CCTV quotation and billing guide.

Where it breaks: the invoice is made from the quotation, not from the material actually used — the extra cable and the extra camera go unbilled.

8. AMC and after-sales — owner: service

Handover is the best moment to offer an AMC: the customer has just seen your work. Create the contract with the installed equipment as covered assets and schedule preventive visits. Every later complaint lands on the same customer, with full history. See managing CCTV AMC without Excel and handling CCTV complaints and technicians.

Weekly review: five numbers to look at

  1. Follow-ups overdue
  2. Quotations sent but not decided
  3. Projects in progress beyond their expected date
  4. Invoices partially paid or unpaid
  5. AMCs expiring in the next 30 days

Those five numbers tell you more about the health of a CCTV business than total sales.

Running this in ServiceKhata360

Each stage above maps to a ServiceKhata360 module working on one database: Leads and Sales Visits, GST Estimates, Payment In for advances, Projects with Issue Items, Return Items and To Invoice, Inventory with serial numbers, Invoices, AMC contracts, Service Requests and Work Assignments. Because they share the same customer record, nothing is re-typed between stages. Project availability depends on your plan; our team will confirm during the demo.

Frequently Asked Questions

When should a CCTV job become a project?
As soon as the customer approves the quotation and material needs to move to site. A project gives you one place for assigned staff, material issued and returned, status and the final invoice.
What should be handed over to the customer after installation?
A working-system confirmation, the remote-viewing setup on their phone, the device credentials changed from defaults, warranty details and the invoice. It is also the right moment to offer an AMC.
Is project management available on every ServiceKhata360 plan?
Project availability depends on your plan. Our team will confirm what fits your business during the demo.
