How to Manage AC AMC Customers and Renewals
AMC is the most predictable income an AC business has — if visits happen on time and contracts renew. A practical system for AC AMC contracts, servicing schedules and renewals.
AC installations bring cash in the summer. AC AMC brings cash every quarter, keeps technicians busy in the off-season and keeps customers from calling someone else when a unit breaks down. But AMC only pays if visits actually happen on time and contracts renew. This guide shows how to run AC AMC as a reliable part of the business.
Decide what you sell
Before you manage AMC well, be clear about what each contract includes. Most AC businesses offer two or three kinds:
- Service-only (non-comprehensive) — scheduled servicing and breakdown labour; parts and gas charged separately.
- Comprehensive — servicing plus most parts; usually excludes items like compressor, PCB or physical damage, depending on your terms.
- Commercial AMC — offices, shops, clinics or restaurants with many units and more frequent visits.
Write inclusions and exclusions clearly. Disputes in AMC almost always start with "I thought that was covered".
What each AC AMC record must contain
- Customer and site address
- Contract start and end date
- Contract value and billing cycle — one-time, monthly, quarterly or yearly
- Covered units — brand, type, tonnage, location in the premises, serial number and warranty expiry
- Covered services — for example "general servicing, 3 visits, quarterly"
- Exclusions and response time
Schedule visits at the start, not when you remember
When a contract begins, schedule every visit in the contract period. Spread them sensibly: one before summer is the most valuable for cooling performance. For commercial customers, agree visit days in advance so the site is accessible.
Every week, assign upcoming visits to technicians with a due date. After each visit, record:
- Status — completed or skipped (with a reason)
- What was done — filter cleaning, coil wash, drain line, gas pressure check
- Any recommendation — "outdoor unit fan noise, check next visit"
Those notes are what convince the customer to renew.
Complaints under AMC
When an AMC customer calls with a breakdown, log it as a complaint against the same customer and check the contract. Covered work gets priority; non-covered parts are quoted before replacement. Tracking complaints on the customer record also shows which sites cost you more than the contract earns — useful at renewal pricing. Read how to track AC customer complaints.
Billing AMC correctly
Quarterly and monthly AMC billing is easy to miss. Match invoices to the contract's billing cycle and check each month which AMC invoices are due. Record payments against them so you know which AMC customers owe money before you send the next technician.
Renewals: the 30-day routine
- Each week, list contracts expiring in the next 30–45 days.
- Review each one: visits completed, complaints attended, parts replaced, units added.
- Prepare the renewal quotation — revise the price if units or usage changed.
- Call the customer with that summary, then send the quotation.
- On approval, renew the contract and schedule the next term's visits immediately.
Turning service customers into AMC customers
Your best AMC prospects are customers you have already serviced. After a breakdown repair or a one-time service, offer an AMC while your work is fresh in their mind. Before summer, call last year's service customers. A simple list of customers with service history but no active AMC is one of the most valuable lists an AC business can have.
Common AMC mistakes
- Selling AMC without listing covered units — then servicing ACs that were never included.
- Scheduling visits only when the customer calls.
- No record of completed visits, so renewal becomes an argument.
- Renewing at the same price every year regardless of the work involved.
How ServiceKhata360 handles AC AMC
In ServiceKhata360, each AMC records its period, value, billing cycle, covered assets with serial numbers and warranty expiry, and covered services with the number of visits and frequency. AMC visits carry a date, technician and Pending, Completed or Skipped status. Contracts show days left and an Expiring alert, and Renew AMC starts the next term. With your WhatsApp number linked to ServiceKhata360 (a one-time QR scan), a workflow on the AMC Expiring event can send renewal reminders.
